      Supplier not Responding to Email - How can I Increase Responses from Suppliers?

      I have been contacting a few suppliers for sometime but so far there is no response. What should I do? How can I get the suppliers to respond?

      If you have not received any response from the suppliers, there could be two reasons. Either you do not sound like a serious customer to the suppliers or the suppliers that you have been contacting have bad customer service.

      Usually, good suppliers respond to inquiries of potential customers within 5 business days. Good suppliers have so many inquiries that it is difficult for them to reply to all emails in a very short time. If you are interested in buying from a specific supplier and he has not yet replied to your email, you should call or fax him. Sometimes, the sales person responsible for handling inquiries is not very efficient, which results in such delays.

      If you ask a supplier to send you a catalogue, it is most likely that he may not reply to you. You should be very specific while dealing with suppliers. You should give the specifications of the item that you intend to purchase from them.

      Good point! Suppliers get so many emails and they do not reply to all of them. They reply to only those emails that appear to be from serious customers.

      If you are writing to a supplier, do not make general inquiries. Be specific and to the point. This way you’ll appear as a genuine buyer who is serious about doing business with the supplier.

      Also, in emails to suppliers, mention the name of your company, communication address and phone number.

      Adding the information about your business will project you as a professional. This will also help you in negotiating the deal with the supplier effectively.

      I feel that you need to hasten the response from suppliers. Instead of emailing, you should call them. I have experienced that many suppliers are slow in replying to the emails, but if you call them you get answers to all your questions instantly.

      I tend to agree with Blackjack about the phone call for initial contact and there is a little more of aguarnatee of getting the response you need quickly that way. I would however follow-up the phone call with a professional email to whomever you spoke with verifying the information and providing your contact details.

      Interesting question! These days, many businesses are buying from suppliers in China. Due to cultural and time differences as well as language barriers, interacting with them is slightly difficult.

      Most Chinese suppliers have English speaking staff these days, so it is not very tough communicating with them.

      So, while communicating with suppliers in China.

      • Talk slowly. This would help your supplier to understand you properly.

      • Use simple and short sentences.

      • Avoid slangs; they may not be aware of them.

      • After your conversation on phone with the supplier, make sure that you send a written summary of the conversation to him or her. This would help in dealing with issues arising on account of miscommunication.

      If the Chinese supplier does not understand you, he may not ask you to repeat what you said. (This is a cultural difference!) So, you should always talk slowly and clearly with your suppliers in China.
