      Handling customers when dropship order is out of stock - Sold out products

      My dropshipper ran out of stock, how do I explain this to my customers? How do I keep this from happening again?

      Unfortunately this does happen. Here are some ways to handle the situation with your customers and also some suggestions on how to avoid the out of stock problem in the future.

      1. Customers do appreciate the truth, so honest communication is always my first choice. A communication such as “With the high demand for this item, the availability has been delayed. Please accept my sincere apologies for this delay, but we can expect to fill your order on (insert a date after consulting with the supplier).”

      2. You can also offer the customer a comparable item or credit towards the purchase of another item in your store. And if necessary you can offer a refund as a final alternative.

      3. Consider keeping a stock of items on hand. Then if the dropshipper runs low or has delays, you can fill in at least temporarily.

      4. Having a partnership with other sellers who carry similar merchandise can be advantageous. With a partnership you can help each other in filling orders when needed.

      5. Work out an agreement with your supplier to perhaps establish a “reserve stock” on the items you are selling. That way you will know exactly how many of an item you have available to sell.

      6. You can place a message in your shipping agreement that indicates “please allow additional time for items that may be in short supply.” This may fend off some concerns before they happen.

      7. Check stock levels DAILY with your suppliers. Discuss with your drop shipper the amount you think you are going to be able to sell, that way, the dropshipper can be prepared with enough stock to cover your sales.

      8. Check to see if your dropshipper has an online stock counter. Then you can post the available stock in your store.

      9. Ask your dropshipper if they can provide “low stock” notifications so you can be advised when stock is running out.
